Vide website privacy notice
Effective date: 23 October 2026
1. Who we are and what this notice covers
Vide Technologies Ltd (“Vide”, “we”, “us”) is responsible for the personal information described in this notice. We are registered in England and Wales, company number 17493461, with registered office at The Courtyard, High Street, Ascot, Berkshire, SL5 7HP. Contact us at support@vide.co.
This notice covers the public Vide marketing website at vide.co, its product demonstration, our early-access email waitlist and related enquiries. The Vide application, account creation and any product testing may involve additional processing explained in the notices provided for those services.
2. Information we collect
When you join the waitlist, we collect your email address and record when you signed up, which signup form you used, and the privacy notice associated with your signup. We also handle subscription preferences, unsubscribe/suppression information and email delivery, bounce or complaint information made available by our email provider.
When you contact us, we receive your email address, the contents of your message and any details you choose to provide. Please avoid sending passwords, payment details or unnecessary sensitive information.
When you visit, our website and infrastructure providers process technical information needed to deliver and protect the website, such as your IP address, browser and request information. Our signup protections use coded identifiers derived from IP addresses and email addresses to limit abusive or repeated requests. These identifiers are not treated as anonymous information.
Our website loads fonts from Google. Your browser therefore connects to Google’s font servers, which receive technical information needed to respond, including your IP address. See our Cookie and tracking notice for more detail.
3. How and why we use information
| Purpose | Information used | Lawful basis |
|---|---|---|
| Send early-access invitations and Vide product updates you request | Email address, subscription preferences | Your consent |
| Keep evidence of your signup and respect unsubscribe requests | Signup/consent records and necessary suppression information | Our legitimate interests in demonstrating permission and respecting your choices; legal obligations where a specific obligation applies |
| Deliver, operate and protect the website and prevent signup abuse | Technical request information and coded rate-limit/duplicate identifiers | Our legitimate interests in maintaining a secure, reliable website |
| Respond to enquiries | Contact details and correspondence | Our legitimate interests in answering enquiries; steps at your request before a contract where applicable |
| Address legal requests or disputes | Relevant records | Applicable legal obligations or legitimate interests in establishing, exercising or defending legal claims |
You do not have to join the waitlist to browse the website. We need an email address to send you the updates you request. Joining the waitlist does not create a Vide application account or require you to buy anything.
We do not sell waitlist details or use the signup form to collect media for AI model training. We do not use the waitlist to make decisions producing legal or similarly significant effects about you through automated decision-making.
4. Your email choices
You can withdraw consent to marketing at any time through the unsubscribe option in our emails or by contacting support@vide.co. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
We retain the minimum information needed to respect an unsubscribe request and avoid adding you back to marketing by mistake. Unsubscribing from marketing does not prevent us from responding to a request you send us or contacting you where a separate legal basis permits a necessary non-marketing communication.
5. Email delivery without engagement tracking
We use Brevo to deliver our emails and handle subscription preferences. We do not use email-open tracking pixels or individual link-click tracking in our marketing emails. We may receive delivery, bounce, complaint and unsubscribe information needed to administer the list.
6. Who receives information
We use Amazon Web Services (AWS) to host and deliver the website and operate the signup service, Brevo to manage the waitlist and deliver emails, and Google to deliver website fonts. We use Google Workspace to handle correspondence sent to our support mailbox.
Access within Vide is limited to people who need it for the purposes described here. We may disclose relevant information to professional advisers or authorities where necessary to comply with law, protect rights or deal with a legal claim. Links to social networks open services operated by those organisations under their own privacy notices.
7. International processing
Our regional website backend is hosted in AWS’s London region. We use Amazon CloudFront’s global network to deliver the website, so technical request information may be processed outside the UK.
Brevo manages our waitlist and sends our emails. Brevo states that its databases are hosted within the European Union, in France, Germany and Belgium. Transfers from the UK to the European Economic Area benefit from UK adequacy recognition. Database location does not mean every provider support or subprocessor activity takes place there.
We use Google Workspace for support email and Google Fonts to display website fonts. Google operates globally and may process information outside the UK, including in the United States. Font requests disclose technical information, including your IP address, to Google.
For overseas processing, the relevant protections depend on the destination and service. AWS’s data-processing terms include a UK GDPR addendum and contractual safeguards for relevant transfers. Google publishes transfer arrangements that include adequacy mechanisms, the UK Extension to the EU–US Data Privacy Framework for covered transfers to Google LLC, and contractual safeguards where required. Brevo’s data-processing agreement forms part of its service terms. These arrangements do not mean that all information stays in the UK.
You can contact support@vide.co for more information about where your information is processed and the safeguards applicable to a particular transfer, including how to obtain a copy where available.
8. How long we keep information
We keep subscription information only for as long as necessary to provide the updates you requested, and review whether we still need it, including when the waitlist closes or its purpose changes. We respect opt-outs and stop the marketing they cover. We retain only necessary consent records and minimal suppression information to demonstrate permission and avoid contacting someone again against their wishes.
We keep support enquiries only for as long as necessary to deal with the enquiry and any related matter. We review whether the information is still needed and delete it when it is no longer necessary, unless we need to retain it for a legal obligation or an actual or reasonably anticipated dispute.
Our signup service’s operational logs are configured for 14 days. Short-lived rate-limit identifiers expire shortly after the relevant one-minute window, and completed duplicate-request records expire after 24 hours. Database expiry schedules removal; physical deletion is not instantaneous. These limits describe our signup protections, not the separate Brevo contact records, support mailbox or providers’ own operational records.
9. Your rights
Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict its use, or receive a portable copy where that right applies. You can object to processing based on legitimate interests, and you can object to direct marketing at any time. Some rights have conditions or exceptions.
Contact support@vide.co to exercise your rights. We may need information to verify your identity and will respond within the time limits required by law. You can also complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/, or another supervisory authority where applicable. You do not need to contact us before approaching the regulator, although we welcome the opportunity to help.
10. Changes to this notice
We will update this notice when our practices change and show the revised date. Where a new use requires your consent, we will ask before starting that use rather than treating an updated notice as consent.
